I just write a pretty simple letter stating that the lease will expire on such date, and ask if they would like to sign a new lease; I let them know how much the monthly payment will be if they sign the lease versus not signing it, and paying month to month... and I enclose a new lease with a self-stamped envelope.
I also take the opportunity at this time to make a visit to the property with handyman to see if there are any repairs that need to be taken care of so that property doesn't get deteriorated over time with your long-term tenants.
